The Operations Manager is responsible for overseeing the day-to-day operations of the organization and managing both short and long-term projects to ensure quality of service and crucial deadlines are met.  He is to be his own leader, reporting to the Managing Directors and in addition receiving direction from the organization’s Executive consultant, the Operations Manager’s primary objective is ensuring organizational effectiveness by providing leadership to the team of Production Department Directors and Project Managers.  Working with the management team, the position also contributes to the development and implementation of organizational strategies, policies and practices to ensure optimal performance at all times.

General Duties
  • Oversee office management including, but not limited to overall productivity, office supplies/equipment, and general concerns related to the office environment
  • Manage and develop direct reporting from Team Directors and
  • Directly and/or contribute to the monitoring and management of staff productivity and schedule
  • Plan, develop and implement strategy for operational management and development so as to achieve organizational performance objectives within agreed budgets and timelines
  • Ensure activities meet with organizational requirements for quality management, health and safety, legal stipulations, environmental policies and general duty of care
  • Liaise with Production Department Directors, Project Managers, Managing Directors, and other leadership to understand all aspects and needs of operational achievements
  • Contribute to the evaluation and development of operational strategy and performance in co-operation with the Leadership Team
Operational Leadership
  • Be first point of contact for general info inquiries from all staff
  • Establish and maintain appropriate systems for measuring necessary aspects of operational management and objectives achievement
  • Monitor, measure and report on operational issues, opportunities and development plans and achievements within agreed formats and timescales
  • Improve the operational systems, processes and policies in support of the organization’s mission -- specifically, support better management reporting, information flow and management, business process and organizational planning
  • Oversee the hiring processes of all part-time and contract positions including develop and circulate job postings, coordinate and participate in interview process, negotiate contracts
  • Develop and implement a recruitment plan when necessary; maintain a file on recruitment resources
  • Contribute to and oversee orientation for part-time and contract staff
  • Contribute to and oversee evaluation for part-time and contract staff
  • Conduct exit interviews with contract staff
  • Develop, or update, job descriptions for all positions
Objectives & Measurables
  • Be a Supervisor, but without the authority; We are a team, we are young, we have fun.
  • Act as primary Owner of the successful completion of ALL projects, ensuring deadlines are met
  • Continue to run Weekly PM meetings and if required other dept meetings and team leaders meetings.
  • Conduct bi-weekly coaching sessions with direct reports staff
  • Bi-weekly coaching of staff, developing and managing Performance Management process for progressive discipline (only when necessary)
  • Provide weekly and/or monthly status reports to Managing directors and Executive consultant as scheduled
  • Keep accurate and easily accessible records of all work in order to ensure organizational continuity
  • Play a significant role in long-term planning, including an initiative geared toward operational excellence
  • Perform as a Mentor, Leader, and Coach, and Supporter
  • Think about opening up a 2nd division responsible for conflicting clients
  • Make Executive team aware of internal stress/issues.
  • Recommend education to those that require it.
  • Recommend team building exercises when needed. Possible day of the month tradition.
